Batch Document Renaming for a Mortgage Brokerage

Client files arrive as IMG_4021.jpg and Scan_2.pdf. The tool reads each one, works out what it is, and renames the batch to the firm's own convention.

Context

A mortgage brokerage receiving client documents as email attachments and phone photographs — payslips, tax returns, bank statements — arriving with whatever name the client's device gave them.

Constraint

Files had to stay in the storage the firm already used. No new document management system, and no re-uploading a client's paperwork into somewhere else.

Intervention

A tool that reads each document, identifies the type and the person it belongs to, and renames the whole batch to the firm's convention. Runs against Google Drive, Dropbox or a local folder.

Observed Shift

Naming stopped being a person's job. A batch arrives unnamed and leaves named to a convention a colleague can search without opening anything.
